Home Inspector Pro Office (HIPO) is an inspection management software that schedules, tracks, and communicates information about your inspections. It will automatically send emails throughout the order process, including contracts/pre-inspection agreements, invoices, and uploaded reports.
With HIPO, contracts to be signed on line, invoices can be paid online, and report links sent to the customer have controlled access based on your settings. Monthly, weekly, and yearly invoices can be easily summarized in the reporting area, and each order-related activity (such as payment made or contract signed) is tracked with timestamps in the audit trail.

About Orders
An order in HIPO encapsulates the items necessary for a scheduled inspection to be created, produced, and completed. Right now, orders are created manually by the inspector. In the future, there will be an option to allow clients to book inspections through your website.
Each order requires six elements:
1. Client(s) and/or Agent(s)
2. Inspection Address & Property Information
3. Selected Services
4. Date/time of inspection
5. Fees/invoice
6. Contract, payment, and report access settings
An order is completed once the contract has been signed, the invoice has been paid, and the report has been uploaded and viewed by the client.
About Automatic Email and Email Templates
Automatic emails are sent at various stages of the order process.
In HIP Office, these stages are called triggers.
There are nine triggers in the order process:
1. Inspection booked
2. Contract signed
3. Payment made
4. Inspection time
5. Report uploaded
6. Order closed
7. Reject order lead
8. Inspection cancelled
9. Refund issued
Each of these triggers can have multiple email events set up to email different people.
For example, once an order has been created, a separate and personalized email can automatically be sent to confirm the order with multiple people, such as: the home owner, the agent, you, an administrative assistant, etc. You can choose who will be sent the emails, and what each of those emails will say.
The email templates allow you to be as specific or as general as you would like. When starting out, it is best to set up the default templates first. Any service type with no custom email template set will use the default template. Then, as you become more familiar with the order process and the email triggers in your testing, you can decide which services and triggers may need more customized emails.
In all email templates, and especially those that are sent to yourself as the inspector, it's good to include identifying information, such as the order number, inspection address, or client name so that you know which order has been updated when you see an email alert (if you have chosen to receive them.)
About Services
The default services in HIP Office are:
- Residential Inspection
- Commercial Inspection
- Termite Inspection
- Mold Inspection
- Thermal Inspection
- Sewer Scope
- Wind Mitigation
Each of these types can be set as primary and/or add-on services. Additional types of inspection services can also be created. Once a service is created, and the service type is enabled, it will be available to add to an order.
For example, to add a mold inspection add-on service to a residential inspection, the add-on service type for the service 'mold inspection' needs to be set to green.
