Step-by-Step Instructions
Step 1: In HIP Office Lite, click on the three lines in the top left to show the main menu. Click on Data Management and then Contract Templates.
Step 2: To access the Contract Editor, click the area with the contract body text.
Note: HIP Office Lite comes with a sample contract preloaded. You can use this contract if you want but it should be reviewed by your insurance company or legal representation to ensure it complies with your local laws. If you choose to use this contract template, you should remove the disclaimer at the top.
Step 3: To use your own wording, you may delete the text from the sample contract and type in your own text. You can also copy and paste from another document if needed. (To Paste into the contract body area, use the keyboard shortcut CTRL + v) Use the Formatting Toolbar to add formatting to the contract.
Note: HIP Office Lite allows one contract to be created. You should add language that will cover any services that you offer. You can add an Optional Initial variable to have clients acknowledge any add-on service language. The full subscription to HIP Office allows for multiple contracts and a feature that adds in addendums from Add On services contracts. If you require this kind of flexibility, contact support to inquire about upgrading from Office Lite to Full Office.
Step 4: To pull in information from the Order Details, Inspector Profile, or Company Profile, use the $Variables listed to the right of the contract editor. You can pull in information like client names, addresses, fees, and other information that needs to be part of the contract. Place your cursor where you would like to add the variable and click on the variable you would like to add.
Step 5: Once you have completed editing the contract to your liking, click the save button.
Step 6: You can use the preview button to show how the contract will appear to your clients when they click the link to sign. You should also create a test order to ensure the contract executes as you want when it is signed.
Troubleshooting
Common Issues
Copied contract formatting does not appear or is malformed. If this occurs, it is recommended to first copy the contract to a formatting neutral application like Notepad. Then copy the contract from Notepad into HIP Office Lite. Some formatting from other applications like Word or Adobe may not translate well to the contract editor.
Other Notes
You can also use “Conditional Variables”. This allows you to apply conditions to the variable to add a variable only if a condition is met. A good example is having 1 or 2 clients. To prepare the contract for 2 clients you would type the variable as $Client1FullName {{and $Client2FullName}}. In this case, if there is 1 client, the contract will only add their name and omit the “and client 2”. If there are 2 clients, the contract will read Client 1 and Client 2.
