How to Add a PDF Document to a Template

This article explains how to add a PDF file to your template so that it shows in every inspection.

Note: Before following the steps below, be sure to save the PDF document you want to add to a location on your computer that is easy to find like the Desktop or Downloads folder. Do not save a PDF to the HIP Documents Vault before Adding the PDF. Add it from an outside folder. Adding the PDF to the template will place the PDF into the Documents Vault along with the required .jpg thumbnail file.

Step-by-Step Instructions

Step 1: In HIP Desktop, open your template and then click on Insert PDF Document.

Step 2: Click on the Add Document button.

Step 3: Select your PDF file from its save location on your computer and click Open.

Step 4: Your PDF will be added to your PDF Document List. On the right side of the screen, your PDF will be denoted by a Blue Arrow. You can drag and drop to place your PDF after a specific section of the report. This section must be checked to print when generating the report for the PDF to show up.

Step 5: The Options Checkboxes will also show up. To save the PDF to your template, check the box for Save to Template. You can also use the Bookmark box to add the PDF to the Table of Contents. Use Don’t Print if you wish to Omit the PDF from an inspection. You can Use the Ignore page Margins to have HIP resize the PDF to fit.

Troubleshooting

Common Issues

PDF does not save to the template and has to be readded. Be sure to check the box for Save to Template.

I added the PDF from the Documents Vault but the report will not generate. The first time you add a PDF to your template be sure it is from outside the Documents Vault. Each PDF also requires a .jpg thumbnail file that is only created if you add the file from outside the Documents Vault folder.
